How do I configure my email address in Entourage Email Client?

Complete the following steps to configure Entourage to send and receive mail

Step 1

Click on the “Tools” menu and select “Accounts”

Step 2

In the “Accounts” window which appears, click on “New” and select “Mail”

Step 3

In the first “Account Setup Assistant” window, enter your name in the field provided. Then, click the right arrow to continue.

Step 4

Next, place a dot in “I already have an e-mail address that I’d like to use” and enter your yourdomain.com email address in the field provided. Then, Press the right arrow to continue.

Step 5

Next, select “POP” from the pulldown menu, as your incoming mail server is a POP server. Then, enter in the incoming mail server and outgoing (SMTP) mail server names:

Incoming mail server: mail.yourdomain.com

Outgoing mail server: mail.yourdomain.com

Then, click the right arrow to continue.

Step 6

If you’d like to use advanced sending options, click on “Click here for advanced sending options” in the “Account Settings” tab.

If you’d like to send mail through mail.yourdomain.com while you’re not actually connected to the Internet via yourdomain.com, you can do so by checking the box labeled “SMTP server requires authentication” and either use the same settings as the receiving mail server, or enter them in the appropriate fields.

Step 7

Enter your yourdomain.com username and password in the fields provided. If you would like to save your password so that you do not have to enter it each time you check your mail, do so now. When you are finished, click the right arrow to continue.

Step 8

Enter a name that Entourage can use for this group of account settings, and click “Finish.” If you’d like this account to be included in the Send & Receive All schedule, check the box marked as such.

You have successfully configured your email account.

Evolution Email configuration instructions

Step1.
From the Edit menu, select Preferences and select Mail Accounts, and click Add(+).
Step 2

In the Account Management screen, enter a name to identify this account and click Forward.

Step 3

In the Identity screen, enter your full name, email address and any optional information you want to include and then click Forward.

Step4
In the Receiving Email screen, select POP from the Server Type list and complete the following fields. When you are finished click Forward.

  • Under Configuration, in the Server field, enter mail.yourdomain.com as your incoming server name.
  • In the User Name field, enter your email address.
  • From the Authentication Type list, select Password.
Step5
In the Receiving Options screen, set your preferences and click Forward.
Step6
In the Sending Email screen, select SMTP from the Server Type list and complete the following fields. When you are finished, click Forward.

  • Under Server Configuration, in the Server field, type mail.yourdomain.com.
  • Under the Authentication list, select Login and enter your SMTP user name (full email address).
Step7
Click Apply to complete the configuration process.

How do I configure my email address in Outlook 2007?

Step1.

Click the Tools menu, and select Account Settings.

Step 2

Click on the Email tab and click on the New… button.

Step 3

Next select Microsoft Exchange, POP3, IMAP or HTTP and click Next.

Step4
On the Auto Account Setup window check the Manually configure server settings or additional server types and click Next.
Step5
Select Internet E-mail option and click Next.
Step6
Fill in the following fields:

  • Enter Your Name as you want it to appear.
  • Enter your full email address abcd@yourdomain.com in the Email address: field.
  • Select POP3 or IMAP.
  • Enter mail.yourdomain.com in the Incoming mail (POP3, IMAP) server: field.
  • Enter mail.yourdomain.com in the Outgoing mail (SMTP) server: field.
  • Enter your username abcd@yourdomain.com in the Account name: field.
  • Enter your email password in the Password: field.
Step7
Perform the following steps:

  • Click on More Settings.
  • Click on the Outgoing Server tab.
  • Check My outgoing server (SMTP) Requires Authentication
  • Make sure Use same setting as my incoming mail server is also checked.
  • Click on OK.
Step8
Click the Test Account Settings button and you should see all items with green check marks. Click the Close Button to close the test window.
Click OK to save your settings.
Step9
Congratulations. You have finished the setup of your email account. Click Finish to close the setup wizard.

How do I configure my email address in Mozilla Thunderbird?

Step1

Click on Tools menu. Then select Account Settings.

Step 2

Click on the Add Account button located in the bottom left of the Account Setting dialogue box.

Step 3

Select Email Account in the Account wizard dialog box. Then click the Next button.

Step4

Your Name : xyz

Step 5

Select POP

Step 6

You will be returned back to the Account Setting dialog box. Select Outgoing Server (SMTP) setting

How do I configure my email address in Microsoft Outlook?

Step1

Click on Tools menu. Then select Email Accounts.

Step 2

Select Add a new e-mail account. Click Next.

Step 3

Select POP3. Click Next.

Step 4

In the next window, input values in various boxes as given below:

Your Name : abcd

Email Address : abcd@yourdomain.com This e-mail address is being protected from spam bots, you need JavaScript enabled to view it

Incoming Mail Server : mail.yourdomain.com

Outgoing Mail Server : mail.yourdomain.com

Step 5

Click on the More Settings button. Then click the Outgoing Server tab. Check the option My outgoing server (SMTP) requires authentication. Then select Use same setting as my incoming mail server.

Step 6

Click on the Ok button. You would be returned to the Email accounts dialog box. Click Next and then click Finish.

How do I configure my email address in Outlook Express?

Step 1

Click on Tools menu. Then click on Accounts in drop down menu.

Step 2

Click the Mail tab in Dialogue box. Then click the Add button and select Mail.

This would start the Internet Connection Wizard

Display Name : abcd

Then click the Next button.

Step 4

Email address : abcd@yourdomain.com This e-mail address is being protected from spam bots, you need JavaScript enabled to view it

Click the Next button.

Step 5

My incoming mail server is a POP3 server

Incoming Mail POP3 server : mail.yourdomain.com

Outgoing Mail (SMTP) server : mail.yourdomain.com

Click the Next button.

Step 6

Account Name : abcd@yourdomain.com This e-mail address is being protected from spam bots, you need JavaScript enabled to view it

Password : as provided in the setup e-mail

Click the next button.

Step 7

On the congratulation screen, click the Finish button. You would be returned to the Internet Account dialogue box.

Step 8

Select your email account. Click the properties button. In the account properties dialog box click the Servers Tab. You would see this

My Incoming Mail server : POP3

Incoming mail (POP) : mail.yourdomain.com

Outgoing mail (SMTP) : mail.yourdomain.com

Adding Telnet client to Windows Vista

A lot of times our customers have called our technical support team asking to troubleshoot email connectivity issues. At such times we normally need to run the telnet command for ports 110 and 25. However, Windows Vista by default does not have the telnet client installed. Follow the steps below to install the Telnet Client on Windows Vista OS.

1. Click Start then select Control Panel.

2. Select Programs.

3. Under Programs and Features, select Turn Windows features on or off.

4. Select the Telnet Client option.

5. Click OK.

6. A dialog box will appear to confirm installation. It will take a few minutes before the telnet client is configured on the machine. The telnet command should now be available.

To run the telnet command do the following:

Press the Windows Key+ R. This is the short run from Start -> Run on Windows XP machines. Then type telnet mail.yourdomain.com 25 in order to troubleshoot SMTP issues or telnet mail.yourdomain.com 110 to troubleshoot POP related issues.

ISPs complying with ASTA Guidelines

Reliance has started to comply with the world standards in securing email communications, specifically to the guidelines prescribed under the Anti Spam Technical Alliance (ASTA) founded by Microsoft, Yahoo, AOL and other major service providers. Basically this would prevent unauthenticated emails by spyware / spamware, originating from your desktop. Very soon other Indian ISPs would follow suit.

As you are aware emails are classified as spam on the basis of IP address blacklists maintained by third party non profit organizations. Bulk unsolicited emailing by spamware / adware software installed on desktops lead to this IP blacklisting.

Complying with the above said ASTA standard will ensure that your emails are not classified as spam.

Adware / viruses / hackers use port 25 to send / relay emails over the internet. ASTA recommends ISPs to block port 25 for its dynamic IP customers.

Email sending issues have been reported to us by users of Reliance Data Cards. So if you are experiencing ONLY sending issues with your ISP follow the steps below to switch to SSL based communication with our server. This facility has now been tested on ALL our servers, including Linux and Windows.

Outlook Express Settings

1. From the “Tools” menu, select “Accounts.”
2. Select your “Email Service Provider account” and click the “Properties” button.
3. Click the “Advanced” tab.
4. Next to “Outgoing server (SMTP),” change port 25 to 465.
5. Click “Apply,” then click “OK” and “Close.”

Microsoft Outlook 2002 (XP) and 2003 Settings

1. From the “Tools” menu, select “E-mail Accounts.”
2. Select “View or Change existing email accounts” and click “Next.”
3. Select your “Email Service Provider Account” and click the “Change” button.
4. Next, click “More Settings.”
5. Click the “Advanced” tab.
6. Next to “Outgoing server (SMTP),” change port 25 to 465.
7. Click “OK,” then click “Next” and “Finish.”.

Outlook 2007 Settings

1. From the “Tools” menu, select “Account Settings.”
2. Select “Email Service Provider Account” and click the “Change” button above it.
3. Select your “Email Service Provider Account” and click the “Change” button.
4. Next, click “More Settings.”
5. Click the “Advanced” tab.
6. Next to “Outgoing server (SMTP),” change port 25 to 465.
7. Click “OK,” then click “Next” and “Finish.”.

Greylisting and GMAIL

We have observed a very interesting thing regarding Greylisting and emails sent from Gmail. If greylisting is deployed on the server, emails sent FROM gmail to a POP account on the server may experience a LOT of delay in receipt of emails from gmail. This is actually NOT an issue with gmail or the greylisting process, but with the way gmail re-sends the greylisted email to the server. Let me explain this with the help of an example.

In the above scenario, when the server returned the email to gmail SMTP, the same SMTP server sent the e-mail back and hence the mail was delivered to the actual user within 5-6 minutes. However, when the server returns the email to Gmail SMTP, this is NOT always the case. Gmail has multiple SMTPs running parallely and would re-send the email to the server via a different SMTP. Now when this email is received by the server, it would be coming from a different SMTP server and would be greylisted again. This process would continue till the server receives the email from the same SMTP host at gmail. This is illustrated below.

As you can see from the above there is a delay of approx 2 hours in receiving email. Now the obvious question is, how to resolve such an issue. There are 2 ways we see this being resolved.

Method 1 (NOT RECOMMENDED)

Bypass greylisting for the concerned domain. This method is however not recommended since this would mean an influx of SPAM e-mails on the domain. Just for one domain gmail.com, it makes no sense to bypass the greylisting process completely.

Method 2 (RECOMMENDED)

Whitelist the domain gmail.com for the entire server. When gmail.com is specifically whitelisted for all the domains on the server, the greylisting would automatically be bypassed for it. Thought this could possibly mean that % of spam may increase in the user’s inbox (due to phised emails), but the % increase would be FAR less than what it would be in method 1.
